Process automation for companies: RPA, AI workflows, and integrations
Your people should be deciding, not retyping data between systems. We automate operational processes so every manual step is a conscious choice, not a habit.
According to our audits, mid-market companies lose 15 to 30 percent of operating costs to manual processes — invoicing, orders, reporting, customer service. The most expensive part is not the staff hours but the errors that arise from data re-keying, and the decisions that get postponed because there is no dashboard.
Process automation at PTR Group does not mean buying a generic RPA platform and hoping it works. We start with a map of actual processes, identify the top 3 areas where investment pays back fastest, and build automation tailored to you — a mix of RPA, custom integrations, and an AI layer depending on what your process needs.
For LaSisa we automated a complete recruitment workflow for thousands of candidates in 96 hours. For BWD.sk we connected the e-shop, warehouse, ERP, and CFO reporting into one data flow without manual intervention. Every automation is different, but the model is the same: concrete numbers in the P&L, not generic promises.
What you get
Process audit & prioritisation
We map your top 10 operational processes, quantify the time and money they eat, and pick the first use case based on ROI and complexity. No automating everything at once — that is the surest path to failure.
Technology and tooling selection
Not everything automates the same way. For repeatable digital steps we use RPA (UiPath, n8n). For decision processes we deploy LLM-driven workflows (Claude, Gemini). For system integration we write custom middleware. Tools are a means, not an end.
Custom workflow build
We write automation tailored to your process, not configure a generic template. That means integration with your existing ERP, CRM, accounting — without large migrations. After deployment every automated step runs on its own, monitored and auditable.
Real-time monitoring and KPI dashboard
We deploy a dashboard that shows what automation does daily — how many transactions it processed, how many hours it saved, where exceptions arose requiring human intervention. Without a dashboard there is no way to measure whether the investment is working.
Integration with existing systems
Your data lives in Money S3, Pohoda, Shoptet, your custom ERP. Automation must work with it, not next to it. We write middleware and integrations that join everything into one flow — without having to change what already works.
Team training and knowledge transfer
Automation that nobody in the company can maintain is expensive decoration. We train your team for daily use and maintenance, document every step, and give you the option to take the system over or leave it under our management.
How we work
Process scan & use-case selection (1–2 weeks)
We look at your processes from two angles: P&L (how much they cost in € and hours) and operational complexity (where the most frequent errors and delays occur). From 10–20 candidates we pick the one that delivers the fastest ROI. Starting with one process is more important than having a perfect plan for all of them.
Build & pilot (3–6 weeks)
We build automation in a live environment, in parallel with the manual process. After 2 weeks you have the first working version, after 4–6 weeks a production pilot running alongside the current way. We measure error rate, processing time, and hours saved.
Cutover & scale (ongoing)
Only when pilot numbers confirm ROI do we switch the manual process to the automated one. Then we scale to additional processes with what we have learned. The iterative approach is 3× faster than "big bang" transformations and has 5× lower failure rate.
15–30 %
average operating cost reduction after the first automation phase
Frequently asked questions
How much does process automation cost?+
Depends on scope. Automating one process (for example invoicing + payment matching) from €8,000. More complex multi-stage integrations (e-shop + warehouse + ERP + reporting) from €25,000. For corporate projects across multiple divisions, pricing is based on scope. We always start with an audit and a fixed price for the specific technologies used.
RPA vs AI vs custom integration — what is the difference?+
RPA (Robotic Process Automation) automates repeatable digital steps — clicking, copying, filling in forms. AI workflows use LLMs (Claude, Gemini) for decisions — classifying emails, categorising invoices, generating responses. Custom integration connects systems directly via API, the most robust approach but requires development. We pick the combination based on the process, not ideologically.
How long until we see ROI?+
For a single process typically 2–4 months from kick-off to measurable ROI. Invoicing and customer service pay back fastest — we see savings within 4–6 weeks of go-live. Cash flow and financial planning are slowest — 4–6 months of data is needed before the real impact shows.
Which processes are worth automating first?+
We pick based on two criteria: volume of repeatable tasks (high) and degree of data digitisation (high). It typically comes out to: invoicing, payment matching, e-shop → ERP synchronisation, tier-1 customer service, HR onboarding, monthly reporting. See our detailed article on 10 automation areas.
What tools and platforms do you use?+
For RPA: n8n (open-source, self-managed or cloud hosted), UiPath for larger corporate deployments. For AI workflows: Claude (Anthropic) and Gemini (Google) as the base, deployed via Vercel and Supabase. For integrations: custom Node.js/TypeScript middleware. We pick the tool based on the process and your existing infrastructure.
What if we change the process later?+
Reality: every process changes over time. Our automations are built modularly — changing one step means editing one module, not reworking the whole workflow. For every pilot we reserve 10–15 % of the budget for post-deployment iteration. After the first 30 days in production there is always something to tweak.
